Important information on submitting vouchers

What do I have to pay attention to when photographing the receipts?

Make sure that all relevant information is clearly and legibly visible on the photo to avoid rejection.

The following information must be clearly visible:
- date
- time
- amount
- voucher issuer

Note: Receipts on thermal paper can fade due to heat (e.g. direct sunlight). Therefore, avoid direct sunlight or storing it in a warm pocket (e.g. wallet, trouser pocket). It is best to hand in the receipt as soon as you receive it.

Examples of valid vouchers:

Receipts are clearly legible and fully photographed.
Date, time, issuer and amount are clearly visible!

Examples of invalid vouchers:

Receipt is incompletely photographed. (e.g.: the date and time or the document issuer are missing)

 Document is blurred and illegible

Credit card receipt instead of receipt with item listing:

Handwritten cover and incorrect cover issuer:

How do I know if a receipt has been accepted?

In the dbonApp you will find the following display on the start page:

Valid receipts: green tick: 2
Unsuitable slips: red X: 2
Unchecked receipts: orange hourglass: 3

If you click on the respective symbol, the receipts appear in the overview.

If you click on the line of the receipt, the detailed view opens.

Can I submit handwritten receipts?

No. Handwritten receipts will not be accepted.

I receive food vouchers, where can I redeem them?

If your employer has restricted the acceptance partners, you can find this information in the app under "My dbonApp".
Possible restrictions could, for example, be limited to a certain federal state, a certain location or to specific acceptance partners.

If there are no restrictions, you can redeem food vouchers at traditional food retailers (e.g.: Billa, Hofer, Spar, Sutterlüty, Billa Plus etc.) as well as in bakeries, butchers and restaurants (e.g.: restaurants, fast food chains).

Where can I NOT redeem food vouchers?
All businesses that are not traditional grocery stores such as petrol stations, drugstores, cinemas, kiosks, DIY stores, garden centers and tobacconists are excluded.
These are not traditional grocery stores.

I receive lunch vouchers, where can I redeem them?

If your employer has restricted the acceptance partners, you will find this information in the app under "My dbonApp": Where can I redeem my vouchers?
Possible restrictions could, for example, be limited to a certain federal state, a certain location or to specific acceptance partners.

According to the current Austrian wage tax guidelines, lunch vouchers may only be redeemed in restaurants that offer food of any kind that can be enjoyed on the spot. This does not include exklusively trading activities.

If a grocery store, bakery or butcher's shop also operates a catering business, the redemption of the lunch voucher is only possible if the catering business is organizationally separate from the retail business and has its own accounting area (own cash register for lunch), so that the redemption at the catering business is traceable.

But what does this mean in practice?

  • You can redeem lunch vouchers in all traditional restaurants where you can eat the meal on site or where the prepared, ready-to-eat meal is delivered via a delivery service. These include restaurants, inns, pubs and fast food chains.
  • Butcher with attached catering business with its own cash register and the option of eating on site
Your butcher around the corner offers a lunchtime menu. You can consume lunch on site in the catering area, and payment is made at a separate cash register.
Important: Butchery purchases and catering consumption are made via separate cash registers.
  • Bakery with attached catering business with its own cash register and the option of eating on site
Your bakery offers a lunchtime menu. You can consume the food in the catering area AND payment is also made at a separate cash register.
Important: Bakery purchases and catering consumption are made via separate cash registers.
  • Grocery stores with their own bistro or restaurant with its own cash register. Classic examples: Interspar restaurants, Sutterlüty Gusto Restaurant.
You can eat your food in the restaurant area AND pay at a separate cash register.
Important: Food shopping and food consumption take place at separate cash registers.

The redemption of lunch vouchers is NOT permitted here for tax reasons:

  • Your grocery store offers various take-away lunch menus in the delicatessen section, but does not have its own catering area.
You cannot eat the lunch menu on site and pay for it at the food checkout.
  • You go to the supermarket and pick up something in the delicatessen section, for example:
    - a warm meat loaf roll
    - a dessert from the chilled section
    - some fruit and a drink
    - or a ready-made salad from the chilled section

You consume these items as your lunch, but you buy them in a grocery store and pay for them at the regular checkout in the market.
This is therefore a grocery purchase - the lunch voucher cannot be redeemed here.

Can I use the dbonApp when I am on a business trip?
For tax reasons, it is not permitted to use the dbonApp for lunch vouchers if you receive daily allowances for your business trip. Please clarify this directly with your employer.

Can I also submit receipts from the weekend?

Your employer may have restricted the meal times.
You can find your personal meal times in the app under the menu item My dbonApp: What are my meal times?

00:00 - 00:00 means: no redemption possible on this day.

When and how do I receive the meal allowance?

Payment is made by your employer in the following month with your salary - directly to your account.

Can I also use the dbonApp when working from home?

In principle, yes, you can also use the dbonApp when working from home. However, it is advisable to clarify this with your employer, as there may be internal agreements that you need to observe.

Can I also upload ATM/credit card receipts?

No. These do not count as invoice receipts as the items consumed are not visible. Please always request a receipt with a list of items.

How long does the document check take?

The check takes place on working days (Monday to Friday). Documents that you submit at the weekend are processed on the next working day. As a rule, the check takes 2-3 working days.
For longer delays: support@digibon.at

I have submitted an incorrect receipt - what now?

No problem! You can delete incorrect receipts within the current month in the menu item receipts. Please note that this is only possible until the end of the current billing month.
Please note: Receipts from previous months can no longer be deleted.

How long do I have to keep the receipt?

Please keep the receipt until it has been accepted (indicated by the green tick).

For example, if the photo is blurred and the receipt could not be read correctly, you may have to resubmit it.

My receipt was rejected, but I disposed of it - what happens now?

In this case, the voucher can no longer be recorded or reimbursed.
It is important to keep the vouchers until the valid status is reached.

What happens if I submit incorrect receipts?
The employer is responsible for compliance with tax regulations and is liable for any tax or social security claims that may arise. However, through the agreement between employer and employee, the employee undertakes to comply with the terms of use and can be held liable for misuse.
How long are the receipts stored?

Receipts are kept for 7 years in accordance with Austrian law.

Why do I have to photograph the QR code again for some receipts or enter the amount manually?

Since 2017, every receipt in Austria has been required to have such a QR barcode.
Ideally, the QR barcode is read correctly the first time the receipt is photographed and the receipt is successfully uploaded immediately.

However, if the QR code could not be read correctly, you will receive the following prompt:

QR code available: YES
If your receipt contains a QR code, please select "Yes" and then point your smartphone at the center of the barcode.
If the QR code cannot be read in this step either, please enter the voucher data manually.

QR code available: No
If there is no QR code on the receipt, please select "No" and enter the receipt data manually.

Individual receipt or collective receipt?

What is an individual voucher?

A single receipt exists if the receipt is not split between several people. This means that an individual receipt could also contain several meals, but is only submitted by one person and is not distributed among several employees.

Example:
You had lunch at a restaurant and asked for a separate bill. The invoice only shows your lunch and you submit this receipt as a single receipt.

How do I submit an individual voucher?

1. select "Receipts" on the start page of the dbonApp .
2. select the option "Single receipt" for the receipt type.
Single receipt --> Only you submit this receipt - the amount is not shared with other employees.
3. then select "Upload receipt" and follow the further instructions in the app.

What is a shared receipt?

A shared receipt exists if you went out to eat with your work colleagues or ordered together from a delivery service and you received a total bill. However, each of you would like to submit your share via the dbonApp.

As the dbonApp performs a duplicate check, the same receipt cannot be submitted multiple times by different employees. In this case, you must use the collective receipt function to split the receipt correctly and submit the respective shares.

How do I submit a collective voucher correctly?

A shared receipt is submitted in two steps:

Step 1: One employee submits the receipt as a shared receipt.
If you start the sharede receipt yourself, proceed as follows.

1. select the document type "shared receipt"

2. enter the shared receipt data

  • Number of employees: 3
(How many employees share this receipt - including yourself)
  • Total amount: 85,10
    (total amount of the receipt)
  • Own amount: 35,10
(Your personal share of the receipt

A receipt key appears after submission

Please share this receipt key with colleagues who would also like to submit shares in the shared receipt.

Note: The receipt key will also be visible later in the submitted receipts in your app.

Step 2: You have received your collective voucher key and attach yourself

Your colleague has already submitted the shared receipt and provides you with the receipt key.

1. select the "Key" option on the start page of the dbonApp

2. enter the receipt key received

You can now see which amount has not yet been allocated and you can view the receipt.

Please only enter your amount from the receipt.
As soon as the full amount or the number of employees is exhausted, no more employees can be added to the receipt.
